Finance & Workplace Coordinator

About the Role

We are seeking a highly organized, detail-oriented, and proactive Finance & Workplace Coordinator to join our team. This role focuses primarily on finance and accounting support — including client billing, financial documentation, and reporting — while also handling general administrative tasks to keep our office operations running smoothly.

Responsibilities

  • Coordinate client billing, payments, and financial documentation
  • Manage petty cash, employee reimbursements, and assist accountants
  • Handle general office administration and basic recruitment support (arranging interviews, collecting candidate info)
  • Support the CFO/CEO in translating finance-related directions into practical action plans (e.g., tracking tools, schedules, process steps
  • Operate our new automated billing system (generate and track invoices)
  • Prepare simple internal finance reports

Office Administration

  • Manage office supplies, refreshments, equipment, and vendor relationships.
  • Maintain internal documentation and filing systems (physical and digital).
  • Coordinate internal payment requests, employee reimbursements, and petty cash processes.
  • Support contract preparation, e-signature processes, and assist in scheduling meetings or internal events.
  • Assist recruitment coordination by arranging interviews, communicating with candidates, and organizing related documents.

What We’re Looking For

  • 2-4 years experience in finance support roles, accounting assistance, billing, or financial administration.
  • Experience in office administration or internal operations support.
  • Strong organizational and prioritization skills.
  • High attention to detail — accuracy is essential (especially with documents, dates, numbers).
  • Proactive, solutions-driven mindset with the ability to manage tasks independently.
  • Good communication skills (both written and verbal).
  • Comfortable with basic office software (Google Workspace, MS Office).
  • Familiarity with accounting/billing systems (e.g., Xero, QuickBooks, FlowAccount) is a strong plus.
  • Experience using e-signature tools and basic project management systems is a bonus.
